Terms and Conditions

By making a reservation with serviced city pads “SCP“ you are deemed to have read and accepted the following Terms and Conditions.

  • Bookings procedure and confirmation
  • Enquiries can be made to SCP via email, telephone, or in writing. Details can be found on the “Contact us” page of the website.
  • SCP will telephone or email the guest (whichever is preferred) to discuss the guests requirements.
  • Unless confirmed otherwise by email a non-refundable deposit payment is taken At this point, the booking is confirmed and becomes the responsibility of the apartment owner / manager.
  • As soon as the booking is confirmed the booking becomes subject to the apartment owners Terms and Conditions.
  • SCP will officially confirm the booking to the guest with a Booking confirmation email. This also acts as a receipt of payment for the guest.

    Methods of payment

    • Guests can pay by Debit card, Credit card (add 3% for credit card payment) or bank transfer.
    • All monies must be cleared into the SCP account before the start of the guests stay. Failure for this to happen will mean the guest will not be given keys to the apartment and their booking becomes invalid. Failure of upfront payment will be dealt with as a “no show“. Refer to SCP cancellation policy.
    • Payment is taken when you make your booking as detailed in the “Bookings procedure and confirmation“.

    Amendments to bookings

    • Amendments can be made to any booking. An administration fee of £25 is applicable to all booking amendments unless agreed otherwise by SCP.
    • All amendments to bookings are subject to availability.

    Cancellation policy

    • The deposit paid to secure the booking is non-refundable.
    • If the guest cancels between 1 and 7 days prior to your scheduled arrival (date), SCP will take the full amount rent due for the 1st night of the scheduled stay.
    • Any cancellation within 24 hours of scheduled arrival (after 2.30pm the day before arrival) or no show, SCP will take the full amount taken for the guests full scheduled stay.
    • SCP advises guests to ensure they put in place adequate travel insurance policies to cover cancellation costs, medical cover, loss or damage to personal property during your stay.

    Rates

    • All rates quoted are per apartment per night (not per person)
    • All rates are inclusive of utilities (VAT is not charged and therefore cannot be re-claimed).
    • SCP reserves the right to refuse bookings at our discretion.

    International reservations

    • All rates shown are in Pounds Sterling (£).

    Inspection of the property

    • The property will be fully inspected by an SCP representative / apartment owner once the guest vacates at the end of their stay (and before the following booking).
    • This Security deposit will be deleted as soon as the apartment has been inspected following the guests stay and it is confirmed that there has been no damage to the property.

    Damage to the property

    • In the event of any damages occurring to the apartment, plus any damages that the guest is found to be responsible for external to the apartment (communal areas, lift etc) the cost of repair will be deducted from the guests security deposit authorisation before the balance of the deposit is returned to the guest.
    • An email confirming what deductions have been taken from the security deposit, and for what reason, will be sent by SCP / apartment owner to the guest within 7 working days of the guests stay.

    Check in / check out

    • Unless otherwise stated, guests can check in between 2.30pm and 6pm. Check in times after 6pm must be confirmed with SCP at least 24 hours prior to arrival.
    • Unless otherwise stated, guests must vacate the premises by 10.30am.
    • Late check outs can be arranged at an additional discretionary charge, dependent on availability.
    • Guests failing to vacate the apartment by 10.30am at the end of their stay (without reaching agreement with SCP or the apartment owner) will be charged for a full days stay at the previously agreed daily rate. This amount will be taken from the security deposit authorisation.

    Provision of utilities / services (including their failure)

    • SCP acts as a booking agent for the owner of the apartment and cannot be held responsible for any failure or interruption of services to the apartment, including electricity, water, gas, broadband internet.
    • SCP cannot be held responsible for any disruption or noise caused as a result of repair works being carried out in another part / outside of the property.
    • Provision of utilities is included in the price quoted to the guest.
    • Payment of utility bills / consumer services / taxes and insurance remains the responsibility of the owner of the apartment and remains in the name of the owner of the apartment.

    Restrictions

    • Unless prior agreement is reached between the guest and the apartment owner, SCP operates a strict no smoking policy. Guests found to have been smoking in an apartment will be liable to a £100 cleaning bill.
    • Pets are not allowed in any apartments booked through SCP. Guests found with pets in an apartment will be liable to a £100 cleaning bill, where applicable.
    • SCP reserves the right of discretion as to when these charges are levied on the guest.

    Guest conduct

    • All guests are expected to conduct themselves in a civilised and responsible manner, and to respect their neighbours. If the duty manager or SCP receives complaints regarding the levels of noise from your apartment, you may be requested to leave the building immediately. Failure to do so will result in the police being called.
    • In this event, both your accommodation and security deposit charges will be forfeit.

    Lost keys

    • Unless otherwise confirmed with the apartment owner, If the guest loses the keys that they are provided with for the apartment they will be liable for a ?50 charge. This figure will be deducted from their Security deposit before the security deposit is deleted.
    • If the guest loses the keys that they are provided with for the apartment during their stay and has to then contact SCP / apartment owner contact outside of normal office hours (Monday – Friday 8.30am – 6pm, Saturday 9.30 – Noon) to provide a replacement set of keys, then the guest will be liable for a £100 charge. This figure will be deducted from their Security deposit before the security deposit is returned.

    Out of office hours non emergency call out charges

    • The guest will be charged £100 for a non-emergency call out if SCP are representing the apartment owner during the booking.
    • SCP and the apartment owner reserve the right to determine what is and what is not deemed to be an emergency

    Furniture, fixtures and fittings

    • No furniture, fixtures or fittings shall be removed from the apartment and should be left as found at the commencement of the guests stay.

    Parking

    • Car parking cannot be guaranteed with each apartment unless otherwise stated.
    • Additional cost may apply to secure car parking.
    • Guests must confirm car parking requirements during the booking process.
    • SCP will endeavour to source car parking space at an additional charge to be communicated to the guest when requested by SCP.

    Apartment owners responsibilities:

    • SCP acts as a booking agent for apartment owners.
    • Responsibility for the guest following the booking process remains fully with the apartment owner, unless otherwise agreedwith SCP prior to each booking.

    Apartment availability:

    • It remains the responsibility of the apartment owner to communicate to SCP when their apartment is available and unavailable for booking.
    • If the apartment owner fails to do communicate unavailable dates for booking, and the apartment has been booked out during this time, it remains the responsibility of the apartment owner to find the guest replacement accommodation of an equal or superior standard to their apartment. Any additional costs undertaken in doing so remain the responsibility of the apartment owner.
    • Any compensation sought by the guest remains the responsibility of the apartment owner.

    Emergency point of contact:

    • It is the responsibility of the apartment owner to provide an emergency point of contact for their guest, should the guest require to call (in instances of emergency such as leaks, floods etc). If no point of contact is provided the apartment owners name and contact details will be given to the guest as their emergency point of contact for the duration of their visit.
    • Call out fees apply (set out below) where the guest is charged for calling out your emergency point of contact in a situation that is deemed not to be an emergency.
    • Unless otherwise agreed SCP is not responsible for your guest during their stay in your apartment.

    Council tax

    • Payment for Council tax covering the apartment remains the responsibility of the owner of the apartment, and remains in the name of the owner of the apartment.

    Building Management Company

    • If the apartment is within a block of apartments that is maintained by a management / maintenance company, it remains the responsibility of the apartment owner to communicate to the management company the changed nature in how the apartment is being used day to day.

    Insurance

    • Insurance covering the property and the guests who stay in the property (buildings, public liability and contents) remains the responsibility of the owner of the apartment, and remains in the name of the owner of the apartment. SCP recommends public liability coverage of £2 million.
    • It remains the responsibility of the apartment owner to communicate to their insurance providers the nature in how the apartment is being used day to day, and that this does not adversely affect their insurance cover.

    Apartment detail on the website:

    • Details of each apartment remain the responsibility of the apartment owner.

    Loans on the property

    • It remains the responsibility of the apartment owner to inform any parties (banks, loan companies) who have lent money to apartment owner to buy the property (mortgages etc) that the property is being let on a short terms basis.
    • All loans on the apartment remain in the name of the apartment owner.
    • It remains the responsibility of the apartment owner to communicate to their mortgage company the nature in how the apartment is being used day to day, and that this does not adversely affect the terms of their loan.

    Liability

    • SCP acts as a booking agent for supplier / owners of apartments. We cannot be held responsible for any dissatisfaction with the apartment. We will, however, do our best to remedy any problems that you may have with the apartment.

    Complaints procedure

    • Any complaints or issues with your stay should be sent in writing to: SCP ADDRESS
    • SCP will endeavour to answer all complaints within 7 working days.

    Apartment details on the website

    • Details of each apartment remain the responsibility of the apartment owner. SCP endeavours to ensure that all apartment details on the website are correct at the time of submission.

    Privacy statement

    • SCP may use your contact details to inform you of our products and any special offers that we think might be useful to you. If you do not want to receive any future information from SCP then simply send an email to info@servicedcitypads.com
    • Information that we require to process your booking will be given to the credit / debit card company to confirm your booking.
    • SCP will not share any information deemed private to any third party outside of the booking process.

    Disclaimer

    • There may be times where, because of circumstances beyond our control, prices will have to be changed or accommodation will need to be amended, at short notice. SCP will endeavour to inform the guest of any such changes before their arrival.

    Tenure

    • Guest and apartment owner agree and acknowledge that the booking does not constitute a lease, and that the guest has no entitlement to any security of tenure beyond the term of their booking.

    Corporate accounts

    • Payment on all corporate accounts are required within 14 days of the guest beginning their stay, unless otherwise previously agreed by SCP
    • Failure to meet the above payment deadlines will result in 5% added to the outstanding amount overdue on a daily basis.
    • SCP reserves the right to request a Personal Guarantee of payment by an individual where payments are made through a Limited Company.
